Duties And Responsibilities

What you’ll do

Render a wide range of administrative and general support duties of a highly responsible and confidential nature for the Platinum sales and marketing and market development teams based in South Africa.

TYPICAL TASKS

Effective Secretarial Administration

Effective Inter-department/unit Communication including receptionist role.
General administration, housekeeping and management of diaries.
Arrange meetings, telecons and VC’s for team members and their visitors.
Support new joiners with their work stations and IT equipment.
Travel Booking and Expenses

Manage logistics and travel booking for team members as required.
Support team members with their expenses claims and ensure they understand the expenses policy.
Facilitate Customer/Stakeholder Visits

Collate all identification and PPE requirements for the visitors and send to Operations.
Liaise with operations on meeting room, accommodation and refreshment requirements.
Jewellery & Metal Management

Management of metal and jewellery pieces (logistics & insurance) related to Plat Africa competition and other Jewellery exhibitions.
Effective liaison with various jewellers, and institutions to ensure metal is accounted for and managed.
Assistance during the PlatAfrica competition adjudication as needed – arranging of pieces for judging, safe storage of all jewellery, arranging of logistics for judges and security, arranging logistics for adjudication like venue booking, arranging meals, visitor access and parking booking, etc.
Supply chain/procurement process management

Responsible for ensuring vendor registrations, raising PO’s, ensuring invoices are paid on time – all via SAP.
Onboarding of new services providers as required.
Maintaining Vendors Account Status summary sheet (Logistic Vendors).
Manage all memberships and subscriptions .
Sales Operations Back-Up

Qualifications And Experience

Qualifications:
What we’re looking for

Demonstrated high degree of computer literacy and systems oriented particularly Microsoft Outlook, Word, PowerPoint and Excel
Std 10/ NQF Level 4 (Numeracy and Literacy)
Ideally passed Secretarial specific training module for operation of the relevant computer systems and communication systems
Valid driving license Code 8
Ideally 2 years of relevant experience
Able to work calmly under pressure, with strong attention to detail and firm commitment to deadlines
